2. Information we collect
Information you give us
- Contact form: your email address, first and last name, phone number and the message you send.
- Booking an appointment: the details you enter in our online scheduler, such as your name, contact details, appointment location, date and time, and the service you need.
- Phone, email and social media: anything you choose to share when you call, email or message us.
- At your appointment: to notarize a document we must confirm your identity, so we review your government issued photo ID and the document being signed, as Florida law requires.
Information collected automatically
- Usage data: with your consent, analytics cookies collect information such as pages visited, time on site, device and browser type, approximate location and how you arrived at our site.
- Technical data: our web host and security tools may record your IP address and browser details to keep the site running and protect it from spam and abuse.
3. How we use your information
- To answer your questions and respond to messages.
- To schedule, confirm and carry out notary, fingerprinting and Google Business Profile services.
- To verify identity and perform notarizations properly.
- To take payment and keep business and tax records.
- To understand how our website is used and improve it (only with your consent).
- To keep our website and forms secure and free of spam.
- To meet our legal obligations.
We do not sell your personal information, and we do not use it for automated decision making.
4. Legal bases for processing (GDPR)
If you are in the European Economic Area, the United Kingdom or Switzerland, we rely on these legal bases:
- Contract: to book and provide the services you request.
- Legal obligation: to verify identity for notarizations and keep records the law requires.
- Legitimate interests: to reply to enquiries and keep our website secure, where those interests are not outweighed by your rights.
- Consent: for analytics cookies. You can withdraw consent at any time.
5. Cookies & analytics
Cookies are small files stored on your device. We use:
- Essential cookies that the site needs to work, including one that remembers your cookie choice.
- Analytics cookies (Google Analytics, through Google Site Kit) that help us understand how visitors use the site. These only run if you click Accept on our cookie banner.
You can change your choice at any time by clicking Cookie settings at the bottom of any page, or by clearing cookies in your browser.
6. Third-party services
We use trusted providers to run parts of our website and business. They handle your information under their own privacy policies:
- HoneyBook, our online scheduling and client management tool, when you book an appointment.
- Google: Google Analytics (with your consent), Google Maps (the map on our Contact page) and Google reCAPTCHA (which may be used to protect our forms from spam).
- Instagram and Facebook, if you follow the links to our social media pages.
- Our website host and WordPress plugins, which store and deliver this site and the messages you send through it.
Our fonts are hosted on our own website, so viewing the site does not send your information to a font provider.
7. Sharing your information
We only share personal information with the service providers above, when the law requires it (for example, a valid request from a court or government authority), or to protect our rights and safety. We never sell or rent your personal information.
8. How long we keep it
We keep personal information only as long as we need it for the purposes above: messages and enquiries for as long as needed to respond and follow up, appointment and payment records for as long as required for business, tax and legal purposes, and analytics data for the period set in our analytics settings. When it is no longer needed, we delete it or make it anonymous.
9. Your rights
Depending on where you live, you may have the right to:
- Access the personal information we hold about you and get a copy of it.
- Ask us to correct information that is inaccurate or incomplete.
- Ask us to delete your information, unless we must keep it by law.
- Restrict or object to how we use your information.
- Receive your information in a portable format.
- Withdraw your consent at any time, without affecting earlier processing.
- Complain to your local data protection authority.
To use any of these rights, email info@inkbondednotary.com. We may need to confirm your identity first, and we will reply within the time the law allows (within one month under GDPR).
10. Security
We take reasonable steps to protect your information, including a secure (HTTPS) website, limited access to client records, and trusted providers. No method of sending or storing data is completely secure, so we cannot guarantee absolute security.
11. International visitors
We are based in the United States, and our providers may store information in the United States or other countries. If you visit from outside the U.S., your information will be transferred to and processed in the U.S., using safeguards such as the providers' standard contractual clauses where required.
12. Children
Our website is not aimed at children under 16, and we do not knowingly collect their personal information online. If you believe a child has sent us personal information, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. The "Last updated" date at the top shows when it last changed.
